Position Summary
The Executive Assistant provides direct, high-level administrative and operational support to the Chief Executive Officer. This role ensures the CEO’s time, communications, and priorities are effectively managed to maximize organizational impact. The ideal candidate is highly organized, proactive, professional, and able to operate with the utmost discretion in a fast-paced, dynamic environment.
Key Responsibilities
Executive Support
- Manage the CEO’s complex calendar, including scheduling meetings, prioritizing requests, and coordinating logistics.
- Organize materials for meetings, presentations, and strategic discussions.
- Coordinate travel, itineraries, and expenses for the CEO.
- Screen, triage, and prioritize incoming communications on behalf of the CEO.
- Serve as the CEO’s liaison to internal teams, board members, clients, and external partners.
Strategic Coordination
- Assist in managing CEO priorities and ensuring follow-up on action items and deadlines.
- Support the planning and execution of board meetings, leadership off-sites, and high-level company events.
- In collaboration with the Chief of Staff, help drive special projects, cross-functional initiatives, and confidential assignments as directed by the CEO.
Communication & Relationship Management
- Maintain strong relationships across the organization to facilitate smooth communication and workflow.
- Represent the CEO with professionalism, discretion, and sound judgment at all times.
Administrative Management
- Maintain organized digital filing systems and ensure efficient information flow.
- Manage expense reports, invoice processing, and procurement activities related to CEO operations.
- Identify opportunities to improve executive workflows.
Qualifications
Required
- 5+ years of experience supporting a C-level executive, ideally a CEO, in a high-growth and fast-paced organization.
- Experience interacting with boards of directors.
- Exceptional written and verbal communication skills.
- Proven ability to manage multiple priorities with accuracy and composure.
- High level of discretion and professionalism when handling confidential matters.
- Proficiency in productivity tools such as Microsoft Office, Google Workspace, Slack, and Zoom.
- Ability to work autonomously and anticipate needs.
