JOB SUMMARY
CPI is seeking a proactive and detail-oriented Program Associate to provide critical support to our Brazil office. This position requires an independent and resourceful individual with strong organizational, communication and interpersonal skills. The position requires strong attention to detail, a high level of professionalism, and the ability to multitask projects simultaneously.
The Program Associate will work directly with the Program Director to strengthen the program’s grant seeking and reporting systems and manage Monitoring and Evaluation (M&E) and Impact Assessment tasks for program grants. This position will also work closely with Program and Finance staff in Brazil and globally to manage the project operations processes through IT-enabled information workflow systems. The Program Associate will be responsible for coordinating pre-award tasks, including supporting the preparation of proposals and budgets; monitoring different programs and projects to ensure compliance with funding terms; coordinating grant reporting as per funder requirements; tracking the progress of projects; and helping identify pivots in programs/projects as needed.
PRIMARY DUTIES & RESPONSIBILITIES
Provide project lifecycle support for the Brazil Program including:
- Support pre and post-award management for the CPI Brazil program.
- Maintain accurate data on key project management platforms including Fluxx/Grantseeker, Asana, NetSuite and Sage Intacct, working closely with project managers to monitor changes and maintain accurate records;
- Support the implementation of internal project management policies and procedures;
- Supporting the preparation of due diligence submissions and project proposals;
- Support the administration of consulting and subgrant agreements including due diligence, financial oversight, and monitoring;
- Educate program staff to ensure accurate and compliant management of grants and contracts, adherence to donor regulations, local laws and regulations, and internal control procedures;
- Ensure excellent working relations with the granters/funders for all CPI Brazil projects and monitor grant utilization and resource allocation on internal workflow systems;.
- Coordinate the preparation and execution of grant-specific reviews by working closely with Finance/ Operations teams and Program staff;
- Implement and maintain robust M&E processes to ensure compliance with funder requirements; Communicate and collaborate with CPI staff working around the globe.
QUALIFICATIONS & EXPERIENCE
Required
- Demonstrated experience in providing administrative support to a fast paced inter disciplinary team;
- Experience working in an international and/or not-for-profit organization or in program administration;
- Knowledge or experience with international donor grant and contract management and reporting;
- Experience of Microsoft Office Suite;
- Written and spoken fluency in Portuguese and English;
- You are committed to CPI’s mission and values;
- You have excellent oral and written communication skills.
Desirable
- Experience of Fluxx, Grantseeker, NetSuite, Asana and/or Sage Intacct;
- You are a stickler for detail and have strong organizational skills;
- You are capable of juggling multiple tasks and priorities at the same time and adhering to strict deadlines;
- You are self-motivated and dependable with a passion for learning;
- You are calm under pressure and perform all tasks with absolute professionalism.
Position Details
CPI is hiring for Program Associate open immediately to be based in Rio de Janeiro, Brazil. The CPI team is currently working in hybrid/flexible WFH mode with two days a week in office, or as required. CPI in Brazil hires through the Pontifical Catholic University of Rio de Janeiro (PUC-Rio) and offers competitive salary and benefits commensurate with experience.
