Department Overview

The Finance Department oversees the accounting and reporting functions of the organization. The team oversees accounting functions such as ledger accounts, financial statements, and cost control systems with a focus on regulatory compliance and practices.

Position Summary

The Commercial Operations Analyst plays a key role in supporting the day-to-day operations of our seed business by bridging customer-facing activities with back-office financial and inventory functions. This position manages the full order lifecycle — from initial customer and partner inquiries through fulfillment, invoicing, and collections — while maintaining accurate inventory, vendor, and account records in NetSuite. The ideal candidate is highly organized, detail-oriented, and comfortable working cross-functionally with sales, logistics, finance, and compliance teams to ensure operational accuracy, timely reporting, and a high level of customer satisfaction.

Job Duties:

  • Customer & Partner Relations: Serve as the primary point of contact for customers, dealers, sales teams, and partners regarding orders, deliveries, account status, billing questions, and issue resolution, ensuring a high level of satisfaction.
  • Order Management & Fulfillment: Process and manage sales orders, credits, returns, and related transactions accurately and on time, coordinating with production, logistics, and sales teams to align inventory availability with shipping schedules.
  • Inventory Management: Lead inventory management within NetSuite, maintaining accurate records for physical goods across Confluence warehouses and third-party growers, including seed and grain, and supporting reconciliations and audits.
  • Accounts Payable & Receivable: Enter invoices and receipts into NetSuite accurately and timely, generate and issue invoices, track payments, follow up on outstanding receivables, and support month-end close and account reconciliations.
  • Royalty Coordination: Coordinate collection of seed licensee royalties, including forecasted amounts, and support timely payment and reporting for in-licensed traits and germplasm.
  • Record Maintenance: Maintain complete and accurate customer, vendor, licensee, and partner records, including new account setup documentation and required business information.
  • Financial Reporting & Compliance: Compile sales, cost, margin, inventory, and royalty data to assist with financial reporting, while supporting adherence to company policies, procedures, and internal controls.
  • Perform other duties as assigned.

Competencies and Qualifications:

Education

  • Bachelor's degree in business administration, Accounting, Agriculture, or related field preferred.

Experience

  • 2–4 years of experience in customer service, order management, operations, accounting support, inventory control, or a related role

Software/Skillset

  • Proficiency with ERP/accounting systems, NetSuite experience preferred
  • Experience in HubSpot preferred
  • Proficiency in Microsoft Excel and other Office applications

Other

  • Strong attention to detail and accuracy in data entry, invoicing, inventory records, and financial documentation.
  • Effective communication and interpersonal skills, with the ability to work effectively across internal teams and external partners.
  • Ability to prioritize tasks and manage deadlines in a fast-paced environment
  • Ability to handle sensitive business and financial information with discretion and professionalism.
