Position Overview

We’re looking for a sharp, collaborative and ruthlessly organized individual to join our growing Operations team. We’re looking for a Business Operations & Partner Support Associate to serve as the right hand to our partners providing administrative support, while also running point on office operations and team coordination. This is a high-impact role that sits at the center of everything we do, connecting and informing the effectiveness, experience and excellence of our team.

The successful candidate for this role thrives juggling priorities, proactively solving problems, collaborating with others, and designing meaningful experiences our team and guests. You’ll keep things moving behind the scenes, make life easier for our leadership, and shape the culture and rhythms of our space. Reporting to the Director of Operations, this role serves as equal parts cultural ambassador and operational anchor across our firm.

Importantly, your growth-mindset shapes how you approach your work, which you tackle with tenacity, grit and integrity. This role is in-person at our Chicago Headquarters Monday through Thursday, with the option to be remote on Fridays.

Key Responsibilities:

Administrative Support:

  • Provide proactive, confidential, and detail-oriented support to the Managing Partner and Partner/COO, seeing to (but not limited to) calendar management, travel coordination, and internal communications
  • Understand and triage calendar conflicts optimizing for critical firm priorities, ensuring the most important work keeps moving
  • Anticipate leadership needs, flag priorities, and ensure seamless daily flow through schedule optimization and informed decision support
  • Prepare, review and submit monthly expense reports and vendor invoices as needed

Office & Operational Management:

  • Set the tone for the office, ensuring a thoughtful, comfortable and welcoming environment for staff, clients and guests
  • Coordinate details to ensure seamless guest experience for visitors to our space, whether they are individuals or larger groups (inclusive of catering, tech or other event needs)
  • Manage facilities vendors, catering, suite maintenance, on-site IT updates for conference rooms and inventory of supplies
  • Collaborate with Head of Marketing & Comms, and the Events & Community Manager to coordinate firm wide, internal/external events that build culture and engagement across our portfolio
  • Implement and optimize office policies, procedures, and systems to drive operational efficiency

Operational Coordination & Communication:

  • In partnership with the Director of Operations, monitor and track key projects, timelines and deliverables, ensuring clarity and sharing regular updates to the team as needed
  • Support internal communications and initiatives that enhance clarity, cohesion and accountability across the firm
  • Collaborate to support cohesive onboarding and offboarding experiences for team members, as needed

Required / Desired Education and Experience

  • BA/BS degree
  • Experience supporting and/or engaging with senior executives or leadership teams
  • 3-4 years of professional experience in operations / office management / event planning / logistics / administration and/or hospitality

Compensation Range: $75-90K base, Bonus eligible.
