Team & Role Overview:
We are looking for an experienced and energized Office Manager to join our team. This person will play a pivotal role in maintaining an organized and well run workplace. This person will also be the point person for our annual offsite in October as well as own on the ground support for our annual conference, Forecast. The Office Manager will coordinate all office operations, be the main point of contact to welcome and support external guests, manage and/or assist in event planning, and provide support to the team to help enhance their productivity and efficiency.
The Office Manager works as part of the Business Operations team, as a member of the People Team. The Business Operations team is responsible for creating and managing systems, processes, and projects that build a highly effective and sustainable organization, and the People Team is responsible for attracting, developing, and retaining top talent.
While the company has a Hybrid Schedule with in-office work days on Monday, Wednesday and Thursday – it is crucial that the candidate is committed to being in the office on those days and willing/able to come to the office as needed on Tuesdays and Fridays when required.
What you’ll do:
Office Operations
Manage inventory of office supplies, technical equipment, snacks, drinks, swag, and furniture, making sure everything is well-stocked and tidy
Own desk set up for new employees, ensuring that they have a welcoming place to work ready for them on their first day
Coordinate with building security, vendors, service providers, and building management for all repairs and other facilities management
Oversee and manage all deliveries and mail
Partner with location leads for Seattle, Vancouver, and Atlanta offices to ensure things are running smoothly and ensure cohesive employee experience across locations
Support and Drive Culture
Define and execute ideas that enhance the culture of our office; define the cadence of and plan team events/ team building activities, in collaboration with the broader People Team
Coordinate office weekly meal (breakfast or lunch) for NYC office
Model the company values as a member of the broader People team
Partner with the rest of the People team execute programming aimed at building culture
Point of Contact for All Guests
Manage all guests at the NYC office – including candidates, employees from different office locations, and board members
Coordinate onsite interviews, working closely with the Recruiting team
Prepare conference rooms and/or guest areas for visitors
Coordinate all physical meeting logistics and hospitality details for quarterly board meetings, ensuring a smooth, inviting, and professional environment for board members.
Events / Meeting Support
Own our yearly all-company offsite in October with support from the rest of the People Team.
Support the marketing team as the on-the-ground point person for external events such as panels and conferences
Coordinate any other events, including: all logistics, venue/vendor selection, catering, and any other needs. Ensure events run smoothly and within budget.
Evaluate potential office expansion plans, ensuring we have the right space to maximize efficiency and comfort
Company Administrative Support
Coordinate travel for remote colleagues, specifically for onsite working sessions and annual offsite meetings, including: booking flights, hotels, transportation and itineraries. Ensure travel plans are well-organized and efficient
Maintain documentation and record keeping for company
Ad Hoc administrative support as necessary
Handle sensitive information with discretion and maintain confidentiality at all times
What you’ll need:
2 years of experience working in corporate or startup environments
Demonstrated passion for making a difference within an organization
Proven experience as an office manager, operations associate, HR coordinator, or similar administrative role
Comfortable working as the only office manager for the company
Fluency in various platforms, including: Zoom, Slack, Google product and/or Microsoft Office products
High energy personality, good interpersonal skills, and a team player
Detail oriented and strong organizational / prioritization / multitasking skills
High aptitude for learning new skills, processes, and systems quickly
Excellent oral and written communication skills
Ability to demonstrate initiative as well as accept direction
Desire to be proactive and anticipate the needs of others
Experience in event planning and travel coordination
What will make you stand out:
Ability to provide basic IT support, specifically troubleshooting zoom room conference rooms and experience wiping and resetting Apple Computers
