The Opportunity
We’re looking for a warm, highly-organized, and energetic Office Manager / Executive Assistant to serve as the heartbeat of our office. You’ll be the first point of contact for guests, candidates, and partners walking through our doors, while also supporting our CEO with scheduling, coordination, and day-to-day operations. This role is perfect for someone who thrives in dynamic environments, loves creating systems and order, and genuinely enjoys connecting with people at all levels.
What You'll Do
Office Manager [60%]
- Welcome and host guests, candidates, and visitors—creating a warm and professional first impression of Plug
- Maintain a peaceful, well-run office environment (stock supplies, manage vendors, handle mail, etc.)
- Own office logistics, including kitchen/restocking, conference room setup, and team event support
- Troubleshoot office issues and be the point of contact for the building or facility team
- Support onboarding for new hires (badge setup, desk prep, swag distribution)
Executive Assistant [40%]
- Manage the CEO’s calendar, scheduling meetings and helping prioritize time effectively
- Coordinate travel, accommodations, and logistics for leadership or investor meetings
- Prepare briefing materials and assist with internal or external communications
- Travel and Itinerary Management: Create detailed travel itineraries including time zone adjustments, confirmation numbers, and contingency plans.
- Track follow-ups and keep the CEO organized across competing priorities
- Communication and Correspondence: Triage emails, messages, and meeting requests—responding, delegating, or escalating as appropriate.

Requirements
- 2–4 years in an office management, administrative, or executive support role
- Excellent verbal and written communication skills
- Comfortable working fully onsite in Santa Monica
- Experience supporting C-level leaders is a plus
