Recruiting Coordinator
The Recruiting Coordinator is a critical member of the recruiting team, responsible for delivering a seamless, high-touch candidate experience and ensuring onsite interview operations run smoothly and efficiently. This role serves as the face of recruiting in our San Francisco office, owning the end-to-end onsite interview experience while supporting recruiters, hiring managers, and candidates across all levels of the organization.
Responsibilities will include:
- Serve as the onsite recruiting ambassador, welcoming candidates and creating a professional, warm, and engaging first impression
- Own the full onsite interview experience, guiding candidates throughout the day and ensuring they feel informed, comfortable, and excited about the opportunity
- Coordinate complex onsite interview schedules across multiple interviewers, calendars, and time zones
- Manage all interview logistics including room reservations, technology setup, interview materials, and day-of adjustments
- Proactively handle schedule changes, conflicts, and last-minute updates while maintaining a seamless candidate experience
- Coordinate meals and refreshments, accommodating dietary preferences and restrictions
- Communicate real-time schedule updates and logistics to candidates, interviewers, and recruiting partners
- Maintain accurate candidate records and scheduling details in the applicant tracking system
- Identify and recommend process improvements to enhance efficiency and candidate experience
Desired Qualifications:
- 3-5 years of experience in recruiting coordination, executive assistance, event coordination, hospitality, or a related role
- Strong organizational skills with exceptional attention to detail and ability to manage multiple priorities simultaneously
- Experience coordinating complex schedules involving multiple stakeholders and time zones
- Proficiency with scheduling tools such as Google Calendar, Outlook, or similar platforms
- Experience working in applicant tracking systems (Greenhouse, Workday, or similar)
- Comfort with video conferencing platforms including Zoom, Google Meet, and Microsoft Teams
- High emotional intelligence and ability to adapt communication style to different audiences
- Proactive problem-solver who remains calm and resourceful in fast-paced, dynamic environments
- Collaborative team player who thrives in an in-person, high-touch recruiting environment

The position is full-time. Compensation will be commensurate with experience.
