Role Summary

As an Sr. Business Analyst, Occupancy Planning within Facility Operations, you’ll play a key role in a team responsible for site programming, daily operations, and workplace programs & services as we scale and transform Rivian’s workplace. In the unique space of an EV workforce, this role requires a highly flexible individual who can decipher complex spatial needs across multiple ecosystems -- office, research and development labs, vehicle test space, manufacturing and other specialty spaces. Our ideal candidate is a perceptive, strategic thinker with a passion for hypergrowth and a deep-rooted understanding of space management.

The focus areas of this role include analysis and strategic planning, data preparation, return-to-office growth initiatives and stakeholder collaboration. You will make the biggest impact through data-driven insights, equipping our teams with digestible data and tools to understand space utilization opportunities, shaping decisions for our evolving facility strategy.


Responsibilities

  • Support large-scale initiatives like return-to-office strategies with in-depth headcount and location assessments, incl. spatial analysis and mapping
  • Assess our current facility utilizations trends to forecast future needs and design optimized space solutions (unique to various teams/organizations like Product and G&A).
  • Prepare data-driven attendance insights for executive review and discussion
  • Develop the business case and justification for space-related investments (physical modifications or software/tooling investments) to meet organizational growth and/or changing office policies.
  • Review and analyze current headcount reporting, financial headcount forecasting, and file tie-back to ensure data accuracy across Facilities and Finance teams
  • Develop agile workspace implementation/approach in collaboration with Site Operations teams and executive assistants
  • Maintain detailed occupancy data for the Workplace & Production real estate portfolio.
  • Admin responsibilities of maintaining IWMS application including incl. data/information gathering, floorplan management, etc.
  • Proactively collaborate with internal site operation leads to understand data gaps and develop custom reports, plans and resources for space management
  • Support with supply and demand studies for all space typologies including office, lab, amenity, exterior, parking, and more
  • Address polarizing topics like shared desking, hybrid work models, and team-specific needs in collaboration with leadership and HR.
  • Create presentable content from our internal analysis to share findings, describe trends and pose strategic questions to the broader organization.
  • Assist in developing and improving the user-experience for facility space and modification requests
  • Assist in maintaining and publishing site-specific information for internal and external parties as needed

Qualifications

  • Minimum 4 years of experience in facilities management, workplace operations, corporate space planning, real estate or similar role
  • Proficiency with space management software (IWMS), CAFM (CAD, Bluebeam), and data visualization tools (e.g., Tableau, Power BI).
  • Exceptional written, verbal, graphic communication skills
  • Knowledge of space management methodology and knowledge of emerging office policies/trends
  • GIS proficiency a big plus, ability to learn ArcGIS for mapping visualizations
  • Demonstrated interpersonal skills to be able to partner with multiple stakeholders, project teams and external vendors effectively
  • Demonstrated analytical and problem-solving skills

Pay Disclosure

Salary Range for Palo Alto, CA based applicants:$117,000-$146,000 annually (Actual compensation will be determined based on experience, location and other factors permitted by law).

Salary Range for El Segundo, CA based applicants: $107,000-$134,000 annually (Actual compensation will be determined based on experience, location and other factors permitted by law).

Benefits Summary: Rivian provides robust medical/Rx, dental and vision insurance packages for full-time employees, their spouse or domestic partner, and children up to age 26. Coverage is effective on the first day of employment, and Rivian covers most of the premiums.
