Role Summary

As the Lead, Small Works Projects you will support the Commercial Facilities Operations Team by organizing and streamlining the efforts of Small Works Projects team members and ensuring operational success across Rivian’s full portfolio. This includes Retail, Service, and Charging locations in North America. You will be instrumental in streamlining communication and processes between the three regional Small Works teams, overseeing vendor relationships, consolidating communication and creating standard operating procedures. Additionally, you will ingest and act on special requests, implement large-scale programs and drive ad hoc projects, collaborating cross-functionally to champion operational excellence.


Responsibilities

  • Program Management: Collaborate closely with the Projects team on all aspects of day two project management including request intake, project workflows, systems management, vendor processes, and billing/invoicing. Regularly communicate about process changes and update training documents to ensure the team is aligned on strategy across all regions.
  • Software Management: Maintain and continuously improve all processes and protocols related to the team’s project management systems. Provide documentation and training for new team members on how to use relevant platforms. Collaborate with IT on regular system maintenance and updates. Project manage new software implementations when needed.
  • Project Intake: Create and maintain the process/systems around project intake for the entire Commercial Facilities Operations team. At times, it may be required for this role to do the initial research and planning for a project or initiative before handing off to the Projects team for execution across all sites.
  • Design Support: Provide test fits and basic design recommendations for Small Works Projects involving two or less trades. Maintain site drawings once a project has been completed.
  • Standards Adherence: Implement all processes intended to guide active sites in adhering to operational and facility standards across the portfolio. Provide regular feedback to internal Design partners on updates to site prototypes and partner on the effective rollout of those changes.
  • Data Management and Reporting: Effectively utilize people and software resources within the team to provide regular reporting on key data points impacting maintenance across the business. Communicate regularly with leaders on the status of the program and needed changes.
  • Collaboration: Work closely with internal Rivian partners on process creation including EHS, Security and other Commercial teams (Design, Construction and Real Estate). This role is expected to build strong relationships across the business that promote Rivian’s growth and success both internally and externally.
  • Continuous Improvement: Assist with keeping projects and programs relevant and adjust processes as needed to best support the business. As part of continuous improvement, this role will deliver thoughtful, fresh, efficient, and effective programs designed to grow with the business as we scale.
  • New or Ad Hoc Programs: The Facilities Operations teams oversee a wide variety of scope; as the company evolves so will the role, which will require engagement in new programs or ad hoc projects.

Qualifications

  • 4-5 years of facilities project or program management experience required; specific experience in facilities project management preferred
  • Proficient in AutoCad, Bluebeam or equivalent software used for updating architectural drawings
  • Proven ability to build relationships with stakeholders across multiple functions and at all levels, both within and outside of the company.
  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail

  • Creative and effective problem-solver.
  • Excellent verbal and written communication skills, and strong critical thinking ability; training experience is a plus.
  • Strong customer service background in a fast-paced, dynamic environment
  • Knowledge with CMMS software and project management tools.
  • Proficient with Google Suite tools.
  • Proven project management skills, including knowledge of project management vocabulary and terminology
  • Skilled at managing third party vendor relationships to ensure performance and accountability.

Pay Disclosure

Salary Range for Irvine, CA based applicants: $98,500 - $123,100 annually (Actual compensation will be determined based on experience, location and other factors permitted by law).

Salary Range for Atlanta, GA based applicants:$89,900 - $112,400 annually (Actual compensation will be determined based on experience, location and other factors permitted by law).

Benefits Summary: Rivian provides robust medical/Rx, dental and vision insurance packages for full-time and part-time employees, their spouse or domestic partner, and children up to age 26. Full Time Employee coverage is effective on the first day of employment. Part-Time employee coverage is effective the first of the month following 90 days of employment.
