Job Summary:
We are seeking a dependable and well-organized Admin Specialist to support the team in managing essential administrative functions. The role is responsible for coordinating housekeeping services with vendors, overseeing transportation operations, managing office supplies, and handling visitor logistics and travel arrangements. In addition, the Admin Specialist will coordinate driver schedules and raise purchase requests related to these services. The ideal candidate will have strong communication skills and a proactive mindset to help maintain a clean, efficient, and smoothly operating work environment.

Key Responsibilities:

  • Housekeeping Oversight: Manage housekeeping operations in coordination with service vendors, maintain cleanliness standards across all facilities, and ensure cleaning schedules, supply inventories, and replenishments are properly tracked.

  • Transportation Services: Coordinate the company’s transportation services, including booking and scheduling, and act as the main point of contact for transport-related needs.

  • Driver Coordination: Oversee daily driver assignments, schedules, and ensure efficient route planning and availability based on operational requirements.

  • Office Supplies & Stationery: Monitor and manage inventories of office supplies and consumables, including procurement, stock levels, and storage in coordination with warehouse or admin stores.

  • Travel Support: Arrange and coordinate employee travel requirements, including transportation, accommodation, and other logistics for business-related travel.

  • Visitor Management: Facilitate external visits by coordinating meeting logistics, access requirements, and ensuring a professional and welcoming environment for guests.

  • General Administrative Support: Perform additional administrative tasks as needed to ensure smooth and efficient office operations.

Qualifications:

  • Previous experience in a supervisory role, preferably in an industrial setting.

  • Strong organizational and multitasking skills.

  • Ability to work both independently and collaboratively.

  • Excellent communication and interpersonal skills.

  • Experience with admin operations is a must.

  • Knowledge of fleet management is a plus.
