About the Role
As an Associate Project Manager, you will support the Director of Site Delivery in the delivery of Vaulted’s pipeline of sites from early development stages through construction handoff by actively coordinating cross-functional work and maintaining the integrated project information required to progress sites through Vaulted’s stagegate.
You will act as the central coordination and information hub for assigned sites — working across Business Development, Finance, Engineering, Permitting, and other functional teams to track timelines, surface dependencies, and ensure required inputs are delivered on time and reflected accurately in Vaulted’s systems. By owning disciplined information flow, critical task tracking, system rigor, and meeting hygiene, the Associate Project Manager enables the Director of Site Delivery and leadership team to make timely, well-informed decisions that advance Vaulted’s site development pipeline.
This role reports directly to the Director of Site Delivery (the PM).
Responsibilities
Stagegate Coordination & Information Synthesis
- Coordinate cross-functional inputs required for sites to progress through Vaulted’s stagegate process (investment committee through construction handoff).
- Proactively source updates, deliverables, and data from functional team leads to ensure stagegate-specific readiness criteria are met.
- Synthesize complex, multi-disciplinary inputs into clear summaries, trackers, and briefing materials for the Director of Site Delivery.
Project Management Execution & Communication
- Maintain integrated project timelines, milestones, and dependency tracking across multiple sites.
- Serve as the primary coordination point for site-level communication, ensuring updates flow through established channels and that norms are followed to reduce silos.
- Track action items, follow-ups, and deliverables across cross-functional teams.
- Prepare agendas, pre-reads, notes, and follow-ups for site-level PM meetings and bi-weekly leadership reviews.
- Support the Director of Site Delivery by preparing materials and capturing outcomes for escalation and decision forums.
Systems of Record & Information Hygiene
- Own day-to-day management of Vaulted’s project management systems as the single source of truth for per-site and portfolio-level information.
- Ensure all required inputs from project team members are entered accurately and on time ahead of meetings.
- Maintain consistency, structure, and data integrity across boards, templates, and trackers.
What You Will Bring
Experience
- 3–5 years of experience in project coordination or project management roles supporting complex, cross-functional work.
- Experience working on infrastructure, industrial, energy, construction, or other capital projects is strongly preferred.
- Demonstrated experience supporting senior leaders with structured information, tracking, and execution discipline.
Skills & Strengths
- Strong organization and execution skills, ensuring nothing falls through the cracks.
- Comfort coordinating across many functions without formal authority.
- Ability to synthesize large volumes of information into clear, concise outputs.
- Systems-oriented and detail-driven, with high standards for data accuracy and structure.
- Clear, proactive communicator who is comfortable nudging, following up, and holding teams to timelines.
Qualifications
- Bachelor’s degree in project management, operations, engineering, business, or a related field.
- Familiarity with project management tools (e.g., Monday.com) strongly preferred.
- PMP or formal PM training is a plus but not required.
