Berkeley Lab's Information Technology Division is hiring a Procurement Administrator. This role involves providing moderately complex administrative support to Software Licensing, Support Services, and the IT Division Office. This position will manage procurement activities independently for IT Staff and support large-scale projects, programs, and initiatives. This role will implement business process improvements for efficiency and communication, as well as provide procurement back-up support for the other Division Office team members.

What You Will Do:

IT Operations Support

  • Provide daily support for software licensing and procurement and serve as a point of contact for software license issues and concerns.
    • Unlock user accounts and reset passwords
    • Distribute licenses
    • Update data records and respond to user requests
    • Assist with report development to gather metrics

General Administrative Support

  • Perform moderately complex administrative and analytical tasks for Department Heads.
  • Serve as liaison to internal and external contacts, and to divisional/directorate and LBNL administrative groups/committees.
  • Lead administrative process improvements by analyzing functions and suggesting enhancements.
  • Prepare and coordinate presentations and related materials.
  • Provide daily support, including scheduling and organizing meetings, coordinating logistics for Department Head, and other duties.
  • Assist managers, group, or project leads in identifying and monitoring deliverables.
  • Anticipate organizational needs and recommend enhancements.
  • Develop and manage logistics for IT Division events.
  • Perform additional duties as assigned to support the Division's mission.
  • May guide clerical non-exempt staff on projects.

What is Required:

  • Bachelor's Degree (or equivalent) and 1-4 years of relevant administrative support experience.
  • Proven experience in high-level administrative support: calendar management, scheduling, meeting planning, project coordination, data management, and report generation.
  • Experience with procurements, licensing, or a financial background.
  • Experience in arranging and managing travel, including working with vendors, making changes, processing approvals, and expense statements.
  • Proficient in cloud-based software platforms and applications: MS Office Suite, Google Apps Suite, Adobe Acrobat, and Zoom on Mac or PC.
  • Familiar with procurement logistics, including requisitions, invoices, and vendor communications.
  • Strong problem-solving and decision-making skills for complex issues.
  • Excellent organizational skills to manage multiple projects independently.
  • Effective verbal and written communication skills for interactions at all levels.
  • Ability to work independently in a hybrid remote/onsite environment while actively engaged as part of the team.
  • Proficient in database management and data analysis using various software applications.
  • Flexible with changing work priorities and tight deadlines.
  • Capable of maintaining confidentiality and discretion.

Desired Qualifications:

  • Experience planning conferences and meetings.
  • Preferred experience with DOE, Lab, or University of California policies and procedures.
  • Experience in a strong safety culture.
  • Knowledge of relevant LBNL policies and procedures.
  • Knowledge of LBNL systems (Asset Management System, FMS, eBUY, TREX).

Notes:

  • This is a full-time career appointment, exempt (monthly paid) from overtime pay.
  • This position is expected to pay $78,804.00 - $96,324.00 annually, which fits within the full salary range of $70,056.00 - $118,236.00 annually. Salary for this position will be commensurate with the final candidate's qualifications and experience, including skills, knowledge, relevant education, certifications while being aligned with the internal peer group.

  • This position is eligible for a hybrid work schedule - a combination of teleworking and performing work on site at Lawrence Berkeley National Lab, 1 Cyclotron Road, Berkeley, CA. Work schedules are dependent on business needs. Individuals working a hybrid schedule must reside within 150 miles of Berkeley Lab.
